Position Summary

Under the guidance of the Director of Internal Operations, the Associate Director of Admissions Systems & Data provides oversight of systems, data, and records management for admitted, applicant, and prospective students, and assists in the execution of daily operations of internal processes. This position is responsible for business processes related to admissions processing and will provide technical expertise and support in maintaining and enhancing processes within a student information system (Banner) and key ancillary support systems. The Associate Director will also have responsibility over data management processes and reporting, creating and managing data integrity, and standard operating procedures. The Associate Director will work with academic departments on strategic enrollment management initiatives including recommending, establishing, and administering procedures and policies related to undergraduate and graduate admissions. This position will hold a strong knowledge of functionalities within Banner as well as be tasked with leading technological implementation, maintenance, and enhancement of the imaging system, online admissions applications, prospective student forms, and Constituent Relationship Management (CRM) systems and software.

The position supports outreach and recruitment-related activities by supervising the maintenance and enhancement of a prospect database, and coordinates communications with prospects, applicants and admitted students in multiple markets, including, but not limited to: traditional, transfer, adult, readmit, and international using Banner and a CRM system. In addition, the position oversees the Admissions Data & Operations Analyst, and Assistant Director of Admissions Systems & CRM. This position will assist in generating weekly reports and other data/reports upon request, and will verify the accuracy of the data/reports prior to dissemination. The Associate Director will work with key stakeholders, ITS and other Enrollment Services system teams to ensure seamless transition of data. This position will collaborate, maintain, and coordinate closely with internal staff and external and various departmental directors, chairs, and deans to streamline processes. Serves as acting Director in absence of the Director of Internal Operations.

Duties/Responsibilities

20% – Assists in activities related to traditional and nontraditional students with a particular focus on enhancing and maintaining a large prospect database and managing regular communications (electronic and mail) with prospects, applicants and newly accepted students through the use of Banner and a CRM system. Investigates, recommends and implements software, databases, and other technologies for the unit including serving as the Banner expert for the office and serving on University-wide technology committees.

20% – Provides guidance and oversight to Assistant Director of Admissions Systems & CRM positon and assists with the maintenance, troubleshooting, and enhancements of the system to improve processes, communications and functionality of the system for students, staff, and faculty. Guides the Assistant Director of Admissions Systems & CRM to develop, and works to enhance functionality after implementation, by identifying any new workflows, views, dashboards, campaigns, applications or console form changes.

20% – Advises the Director of Internal Operations on the planning and development of goals and objectives for the office that support the university’s strategic recruitment goals and initiatives. Monitors workflow to identify more efficient policies and procedures to ensure timely processing of applications (i.e. domestic, international and graduate) and imaging of documents as well as maintains a working knowledge of current trends and best practices in admissions operations. Contributes to the development of procedures and documentation and assists in implementation of policies and procedures.

20% – Collects data necessary for university planning, research, reporting, and other institutional effectiveness functions. Analyzes and creates time-sensitive reports on large, complex data sets to support the enrollment goals of the office. Assists the data analyst and operations position in generating weekly reports and other data/reports upon request and verifies the accuracy of the data/reports prior to dissemination. Must have a strong understanding of data collection within a data warehouse. Serves on all technology committees and work closely with ITS to address data validation issues. Collaborates with the Admissions Data and Operations Analyst to develop process improvements with application process flow, and business processes, as well as analyze specific business problems to determine the appropriate technology solutions.

10% – Provides oversight and manages the daily operations of the systems and data area of the office. Directs, supervises, and conduct performance planning and evaluation for Admissions Data and Operations Analyst and Assistant Director of Admissions Systems and CRM. Sets goals as well as provides leadership and training for staff.

5% – Serves as acting Director in absence of the Director of Internal Operations.

5% – Performs other related duties as assigned.

Required Qualifications

• Bachelor’s degree in Computer Science, Management Information Systems or related discipline from an accredited institution.
• At least three years of experience in admissions or enrollment services.
• At least three years of experience providing supervision and performance management for staff.
• Experience using a student information system and document imaging system.
• Experience and knowledge using a constituent relationship management system (CRM), Ellucian Banner, Banner Workflow and/or comparable system.
• Experience with using software for data extraction, verification and analysis and in working with relational databases (MS Access, Excel, SQL using Microsoft SQL server).
• Experience conveying complex data using tables, charts, and infographics.
• Experience with Microsoft Office Suite.

Preferred Qualifications

• Master’s degree in Computer Science, Management Information Systems or related discipline from an accredited institution.
• At least five years of progressive experience in admissions or enrollment services.
• At least four years of experience supervising five or more staff and providing performance management and conducting annual evaluations.
• Experience with Technolutions Slate.
• Experience implementing technology.
• Experience managing recruit and applicant communication flows.
• Possess strong organizational skills.
• Have the ability to successfully multi-task.
• Effective written and oral communication skills.
• Experience with applicable state and federal laws, particularly FERPA.
• Experience working with diverse populations.
